What we collect, why, and who touches it. Last updated August 12, 2026.
Account data: the email your department was built with, your login ID, and a salted hash of your password (never the password itself). Department data: your practice's public information (website content, listings, published reviews), the preferences you write, and the deliverables the agents produce. Usage data: sessions (a cookie that keeps you signed in for 90 days of activity), credit spends, and standard server logs. Billing: handled by Stripe; we never see or store your card number.
We use your data to run your department: research your practice, ground the agents, measure your visibility across AI engines, and render your dashboard. We do not sell your data. We do not use your data to train AI models. Your department's knowledge base is visible only to your account, the people you have invited, and AEOptim staff operating the service.
Producing deliverables sends relevant grounding to the AI providers that power the agents and the measurement grid: OpenAI, Anthropic, Google, and Perplexity. That grounding is your public website content, your Practice Profile, your Brand Kit, the documents we deliver to you, and the free text you type into the service. We send what the work needs and nothing more.
Anything you type into a free-text field is sent to those providers. The preferences box, support messages, Brand Kit revision notes, and agent briefs all travel. Our agents are instructed to refuse patient and client identities, but that happens after the text has left our system, so please do not put patient or client information into the service at all. When you connect your department to Claude or ChatGPT, that assistant reads your department's material through the connection: your reports, your Brand Kit, your Growth Layer, and the documents we deliver. Whatever it reads becomes part of your conversation with that company, under that company's terms and privacy policy, not ours. This is worth understanding before you connect, and it applies to anyone you give the department address to.
Cloudflare hosts the service and stores department data on our behalf. Stripe processes payments. Resend delivers our emails. Google Analytics measures our own marketing pages. Each processes data only to provide its service to us.
The dashboard uses one first-party session cookie to keep you signed in. Our marketing pages use analytics cookies as described in the site-wide privacy policy.
Department data lives for as long as your department exists. Close your department and we delete the account, the knowledge base, and the deliverable archive within 30 days, except records we must keep for tax and accounting. Email human@aeoptim.com to request deletion or a copy of your data.
